This Privacy Policy explains how QuickTrack ("QuickTrack," "we," "us," or "our") collects, uses, and protects information when you use the QuickTrack Fleet Maintenance Tracker mobile app and web dashboard (together, the "Service"). By using the Service you agree to this policy.

Information we collect

Account information

When you create an account we collect your email address, your display name, and an authentication credential (password), which is handled securely by Google Firebase Authentication. If you add a signature for inspection reports, we store that signature image.

Fleet and maintenance content you provide

We store the information you enter to run your fleet, including:

• Items (vehicles, trailers, and equipment), names, categories, VINs, make/model/year, and parts/spec details;
• Odometer/mileage and engine-hour readings, maintenance schedules, service records, and daily inspection results;
• Reported issues and photos you attach to check-ins, issues, or maintenance items;
• Fuel entries and state-line/mileage entries you choose to record;
• NFC tag / QR code identifiers you program for your items.

Team information

If you create or join a team, we store your team membership and the email addresses used to send team invitations, so that team members can share the same fleet data.

Device and usage information

To deliver reminders and improve the Service we process a push-notification token (Firebase Cloud Messaging) and standard diagnostic/usage information such as app version, device type, and interaction events collected through Google Firebase/Analytics.

Subscriptions and purchases

QuickTrack Pro subscriptions are processed by Google Play Billing. Google handles your payment. We do not receive or store your full payment card details; we receive confirmation of your subscription status so we can unlock paid features.

How we use information

• Provide and operate the Service and your shared fleet;
• Calculate what maintenance is due and send you reminders and notifications;
• Generate inspection reports, service history, and usage/fuel reports;
• Manage teams, invitations, and access to shared data;
• Process and validate subscription entitlements;
• Maintain security, prevent abuse, and troubleshoot problems.

How information is shared

• With your team. Data you add to a team's fleet is visible to other members of that team.
• Service providers. We use Google Firebase (Authentication, Firestore database, Cloud Storage, Cloud Messaging, and Analytics) and Google Play Billing to operate the Service. These providers process data on our behalf under their own terms and privacy policies.
• VIN look-ups. When you use the VIN look-up feature, the VIN is sent to the U.S. National Highway Traffic Safety Administration (NHTSA) vPIC public API to decode vehicle details. No account or personal information is sent.
• Legal. We may disclose information if required by law or to protect our rights, users, or the public.

We do not sell your personal information, and we do not share it for third-party advertising.

Data retention

We keep your information for as long as your account is active or as needed to provide the Service. You can request deletion of your account and associated data by contacting us (see "Contact" below); some records may be retained where required for legal or security purposes.

Security

We use industry-standard measures provided by Google Cloud/Firebase, including encryption in transit and access controls, to protect your information. No method of transmission or storage is 100% secure, but we work to protect your data.

Your choices and rights

• Access, correct, or delete your account data by contacting us;
• Turn off push notifications in your device settings;
• Manage or cancel a subscription any time in the Google Play Store;
• Depending on your location, you may have additional rights (such as under GDPR or CCPA); contact us to exercise them.

Children

The Service is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. We will revise the "Last updated" date above and, where appropriate, notify you within the Service.
